HubSpot Missing Features: WhatsApp Starts at Pro

HubSpot missing features for small businesses are mainly native WhatsApp on lower tiers, multi-step sales follow-ups without an assigned seat, and full workflow automation below Professional. As of November 2026, none of that is a reason to switch on its own because the free tools already handle contacts, deals, tasks, email tracking and a shared inbox.
After building customer workflows for food and professional-services businesses, I think teams ask the wrong question here. They ask whether HubSpot has a feature. The useful question is whether a lead reaches the next responsible person, with the right context, before the customer gives up.
What HubSpot missing features matter to a small business?
The meaningful gaps appear when the CRM record has to trigger work across channels. HubSpot's free catalog includes contact and deal management, tasks, one shared inbox, team email, email tracking and a personal meeting link. It also includes limited automation: one automated action for email nurturing and one automated email per form.
That is enough for a small sales team that agrees on a routine. A new enquiry can become a contact and deal, an owner can create a task, and the next email can be logged. HubSpot is already doing the record-keeping, so paying another tool to recreate the same contact list would solve the wrong problem.
The gap starts when the routine depends on memory. A lead arrives on WhatsApp, the quote sits in Xero, a site visit changes the deal, and somebody must remember to chase it next Tuesday. A CRM can show the record while the work still falls between screens. A clean database is useful. It is not the same thing as a completed follow-up.
WhatsApp is available, but the entry point is Professional

HubSpot does have a native WhatsApp channel. Its official help page says the connection is available with Marketing Hub Professional or Enterprise, or Service Hub Professional or Enterprise. New WhatsApp messages can create threads in the conversations inbox. Service Hub can also turn them into help-desk tickets.
The boundary matters more than the badge. HubSpot says historical conversations do not sync when the channel is connected. A session stays open for 24 hours after the customer's last response; after that, the business has to restart it with an approved template. HubSpot also lists a shared allowance of 1,000 template messages per month across connected WhatsApp business accounts.
For a Singapore SME, native WhatsApp is a sensible upgrade when several people need one inbox, one contact history and controlled templates. A marketplace app can be enough when the immediate job is simply logging WhatsApp conversations against contacts. Check its permissions, message rules, ongoing fee and support before trusting it with the customer queue.
Neither route finishes an order by itself. If staff still copy the customer's choice into Xero, check stock elsewhere and return to WhatsApp with a delivery promise, the gap sits after the channel connection. Buying the WhatsApp icon can make the inbox neater while leaving the evening work untouched.
Follow-up is three different jobs wearing one name
A manual reminder, a timed sales sequence and a business workflow are different products inside HubSpot. The free CRM already stores tasks and activities. That is enough when a person decides the next move and only needs a reliable queue.
HubSpot sequences send timed one-to-one emails and create follow-up tasks. Its documentation says sequences require Sales Hub or Service Hub Professional or Enterprise and an assigned seat. They work well for a defined sales cadence, and HubSpot can stop the sequence when a contact replies or books a meeting.
Full workflows sit behind a Professional or Enterprise subscription in the relevant Hub. They can enroll records from defined criteria, assign leads, create records and run a series of actions. Marketing Hub Starter has simpler email automation, with HubSpot documenting up to 10 actions per simple workflow as of November 2026.
Choose the smallest mechanism that fits the job. Use a task when judgement chooses the next action. Use a sequence when the cadence is standard and a reply or meeting is the finish line. Use a workflow when a record change should reliably create work across the team. Automation becomes expensive when a simple checklist would have been clearer.
A connector is enough until business judgement enters
HubSpot's own data sync can keep supported records updated one way or two ways across connected apps. Its marketplace also lists Zapier and Make as connector options. For a narrow transfer, such as copying a new form submission into a working sheet or updating a standard status, that may be all a small team needs.
The limit appears when the next step depends on several facts and an exception. A Singapore service company may need to read a deal, check an appointment slot, confirm a payment status and ask a manager before promising a date. Zapier or Make can move the pieces, but the owner still needs one explicit rule for who decides and where the evidence appears.
The same is true for a custom customer workflow. It should earn its place by completing a valuable job that HubSpot, its native automation and a simple connector cannot finish cleanly. In Rosalie: WhatsApp Order Automation, Replies Under 30 Seconds, the agent answers product questions, takes the order, confirms payment and books Gojek delivery while the team approves exceptions. The published case study reports two hours of admin saved each day and a doubled closing rate after months in daily use.
Those are Rosalie's results, not a promise for another business. The lesson is narrower: connect the channel only when you can name the finished job. “We have WhatsApp in the CRM now” is a setup milestone. It is not a customer outcome.
Upgrade for the unfinished work, not the feature count
There is a strong case for staying inside HubSpot. If Professional gives your team the inbox, sequences and workflows it will actually use, one supported system may be easier to own than several small subscriptions. The upgrade is especially defensible when reporting, ownership and customer history already live in HubSpot.
Before spending, take a recent batch of leads and follow each one from first message to the next meaningful outcome. Mark every manual copy, forgotten chase, duplicate entry, unclear owner and approval. Then test whether HubSpot's own feature fixes the break, whether a connector covers it, or whether the workflow needs a business-specific layer.
Compare that result with the real alternatives: a founder chasing the list at night, staff maintaining a parallel spreadsheet, or another admin hired to carry information between tools. Count completed follow-ups and human minutes left per lead. A feature earns its cost when it removes repeatable work without hiding the decisions a person should make.
Ask any vendor to show one late WhatsApp lead, one no-reply follow-up and one exception that needs approval. Ask where the record changes and who can recover a failed step. Then ask what your team still does by hand. The goal is not a more impressive CRM. The goal is fewer customers waiting for someone to remember them.

Common questions
- What features are missing from HubSpot Free for a small business?
- As of November 2026, HubSpot Free does not include the native WhatsApp channel, sequences or full workflows. It does include contacts, deals, tasks, one shared inbox, team email, email tracking and limited form and email automation.
- Does HubSpot integrate with WhatsApp?
- Yes. HubSpot's native WhatsApp channel is available with Marketing Hub Professional or Enterprise and Service Hub Professional or Enterprise. New messages can enter HubSpot, but old conversation history does not sync when the channel is first connected.
- Can HubSpot automatically follow up with leads?
- Yes, at different levels. Free tools support limited email and form automation; Marketing Hub Starter supports simple email workflows; sequences require Sales Hub or Service Hub Professional or Enterprise with an assigned seat; full workflows require a Professional or Enterprise subscription.
- When are Zapier or Make enough for HubSpot?
- Zapier or Make can be enough when the job is a narrow, rules-based transfer, such as copying a new lead to another tool or updating a standard status. Use a fuller workflow when several records, exceptions or human approvals decide what should happen next.
- Should a small business leave HubSpot because of missing features?
- Usually no. First test one real lead journey. Keep HubSpot when its existing tools complete the job, add a connector for a simple data handoff, and consider a business-specific workflow only when repeatable work still falls between systems.
