StoreHub to Xero: Sales Sync, Close Still Needs You

The standard connector solves a real job: it stops someone from typing the same shift sales into accounting. It does not promise to settle every refund, fee, variance or unusual payment exactly as your bookkeeper expects. Those cases need a test before the first month-end.
After building finance workflows for food, retail and professional-services businesses, we have learned to judge an integration by the handoff after the happy path. The useful question is whether the connector leaves a clean invoice, a traceable payment and a short exception queue for one named reviewer.
The shift close is the trigger, not the finish
StoreHub says its Xero add-on starts when a shift closes. The official Xero App Store listing says the close sends sales and payment records to Xero and creates an invoice with the products sold, quantities, prices, tax shown as inclusive or exclusive, and the payment methods used. You enable it in StoreHub BackOffice under Settings, Add-Ons and Xero.
That is the right boundary for a point-of-sale connector. StoreHub remains the operating record for the till. Xero receives the accounting record for the closed shift. Staff should not have to export a spreadsheet or rebuild the day from receipts.
One detail is easy to miss. The Xero listing declares accounts flowing from Xero back to StoreHub, while invoices and payments flow from StoreHub to Xero. That direction suggests the chart-of-accounts mapping deserves attention during setup. The listing does not describe a general two-way sync of every record.
Verdict: use the built-in connector for the closed-shift handoff it documents. Do not pay someone to recreate that same handoff in another automation tool.
What does StoreHub sync to Xero?

As of October 2026, the public listing names three shared-data paths: invoices from StoreHub to Xero, payments from StoreHub to Xero, and accounts from Xero to StoreHub. It also says each Xero invoice has a detailed sales breakdown and the payment methods used. StoreHub describes the same link more broadly as sales data feeding Xero banking, invoicing and reporting.
The listing does not declare contacts, items, tax rates or credit notes as shared-data categories. That wording does not prove the connector cannot handle any related detail inside an invoice. It means an owner should not assume those records are created, updated or returned as separate objects without seeing them in a live demo.
Run the demo with the awkward shift, not the clean one. Include a return, a void, a discount, a split payment, a gift card or store credit if your business uses them, a cash difference, and any delivery-platform or payment fee that reaches the bank separately. Ask where each one appears in Xero and who corrects it when the source record changes after close.
The public pages also leave cadence beyond the close-shift trigger, historical backfill, resync behaviour and the exact add-on charge unspecified. StoreHub says some integrations may require an add-on or third-party subscription. Get those four answers in writing before rollout.
Bank reconciliation begins after the sync
A payment recorded against a StoreHub shift is an accounting entry. The bank deposit is separate evidence. Xero Central says reconciliation matches imported bank statement lines to transactions already in Xero, and a person should check suggested matches for accuracy. A balanced screen can still point at the wrong invoice.
StoreHub's terms put occasional dashboard data checks on the merchant. That makes a review routine part of the supported operating model, especially after a mapping change or a failed sync.
That distinction matters for card takings. If the bank deposits several payments together, deducts a fee, settles on another day or carries a different reference, test how the StoreHub payment sits beside the bank line. Xero can find and match transactions, but the reviewer still needs a rule for the mismatch and evidence for any adjustment.
Xero already provides bank feeds, suggested matches and bank rules. Use those before adding another product. Zapier or Make can be enough for a simple side task such as notifying a finance lead when a shift fails to appear. They should not be used to duplicate the invoice and payment path the StoreHub connector already supplies.
Verdict: the connector removes sales entry. Xero handles the bank-matching workspace. A named finance reviewer owns the difference between the two.
The standard connector is enough for a clean close
Keep the standard setup when each outlet closes consistently, the Xero account mapping is stable, payment methods land where finance expects them, and exceptions are rare enough to review. The owner gets the benefit without turning a straightforward handoff into a software project.
Check your Xero plan before launch. Xero warns that transactions initiated by app partners may count towards an invoice limit on a limited plan. The StoreHub public page does not state which Xero plan or StoreHub add-on price applies to your account, so plan fit belongs in the setup conversation.
Add a controlled workflow only when the recurring work sits around the connector: several outlets need to be checked against bank deposits, settlement differences follow the same rules, missing closes need chasing, or the finance team maintains a separate review sheet. Keep any correction, write-off or money movement with a person.
Switching either core tool makes sense only if the documented handoff cannot support a requirement central to the business. A blank on a public listing deserves a test, not a migration.
The proof sits in the exception queue
The closest Biks example is F&B Reconciliation Case Study: 13 Outlets, 2 Hours a Day. The business already had POS closings. The repeated job was checking each outlet against the bank and filling the finance team's master sheet.
That workflow went live in four weeks, has run thousands of reconciliations, and gives the team two hours a day back. The team reviews the breaks. Those are that client's results, but the operating lesson fits a StoreHub to Xero setup: measure the work after the sales record arrives.
Hiring another admin would make the copying faster while leaving the same daily chase in place. A useful finance and accounting workflow reads the records the business already trusts, applies the approved matching rules and gives uncertain cases to the person who owns the close.
The accountants did not need another sales report. They needed a shorter list of differences worth their attention.
Run one real shift before you trust the month
Close a representative shift and trace it end to end. Confirm the invoice date, tax treatment, sales breakdown, payment methods, account mapping and bank match. Then change or reverse one transaction using the normal StoreHub process and watch what happens in Xero.
Before sign-off, ask three questions. Which record wins when StoreHub and Xero differ? Which exceptions stop for a person? Who proves that the shift total reaches the bank after fees and timing differences? The answers should name a record, a rule and an owner.
For most Singapore retailers and restaurants, the built-in StoreHub to Xero connector is the sensible starting point. The connector should remove typing. Your close still needs an owner.

Common questions
- What does StoreHub sync to Xero?
- As of October 2026, StoreHub sends closed-shift sales and payments to Xero. The Xero App Store listing says it creates an invoice with products sold, quantities, prices, tax mode and payment methods, while Xero accounts are shared back to StoreHub.
- When does StoreHub send sales to Xero?
- The documented trigger is the StoreHub shift close. When a shift closes, its sales and payment records are sent to Xero and an invoice is created for the shift.
- Does the StoreHub to Xero sync reconcile the bank account?
- No complete bank-reconciliation workflow is documented. StoreHub sends invoices and payments, while Xero separately matches accounting transactions to imported bank statement lines. A person should review suggested matches and resolve settlement differences or missing evidence.
- Does StoreHub sync refunds and credit notes to Xero?
- The public Xero App Store listing does not declare credit notes as a shared-data category or explain refund handling. Test a real return, void and post-close correction in a demo, then confirm where each record appears and how it can be resynced.
- Do I need Zapier or Make between StoreHub and Xero?
- Usually not for the core sales handoff, because StoreHub already sends invoices and payments to Xero. Zapier or Make may be enough for a simple alert or follow-up task, while repeated multi-outlet matching and exception review may need a controlled finance workflow.
